What a virtual assistant real estate agencies hire does across a campaign
Every listing and every buyer brief creates a stream of admin. A real estate assistant takes it at each stage, so your agents can spend their time prospecting, appraising and negotiating:
- New business: log enquiries and vendor or buyer details in Rex, VaultRE or Agentbox, and prepare appraisal packs for the agent.
- Campaign: draft listing copy, upload approved listings and photos, book inspections and send weekly vendor reports.
- Under contract: request contracts, strata and building and pest reports, and track due-diligence items.
- To settlement: track key dates and remind the agent of each next step.
For sales and property management agencies, the role centres on listing admin, CRM upkeep and campaign reporting. For buyers agencies, it leans towards research: shortlisting properties against the brief, gathering sales evidence and coordinating due diligence.
What stays with your agents
- Appraisals, price guidance and recommendations to clients
- Negotiation, offers and anything that requires a real estate licence
- Final approval of listing copy, reports and client communications
Set clear research criteria and reporting templates. Your agents keep the judgement calls, and your assistant keeps the evidence and admin in order.
How we test real estate assistants
Some real estate virtual assistant Philippines services share one assistant across several offices. We recruit one person for yours. Each search typically starts with 1,000+ candidates from job advertising, direct headhunting and referrals through vetted local networks. Of that starting pool, about 40% pass CV and quality screening, 20% the video screen, 10% the practical assessment and 5% the structured interview. Around 2% reach finalist review, and you receive a shortlist of 3–4, usually within about 2 weeks.
The practical assessment could include a property shortlist built from a sample buyer brief, with a short comparable-sales summary and a client update email. When you interview, check that a finalist’s shortlist actually matches the brief, that sales evidence is relevant and correctly recorded, and that the email could go out with light edits.
What an agency adds every month
VA agencies charge a fee every month on top of your assistant’s salary, for as long as you keep them. Staff Domain, for example, publishes $1,099 per person per month, about $13,188 a year, plus $1,200 per hire (checked October 2026). Over three years that is about $40,764 in fees, before any salary.
With Tarino you pay a one-time fee, and your assistant keeps their full salary because you pay them directly. Compare agency fees with a one-time fee, or run the markup for your agency in the calculator.
Your assistant’s first month
Start with CRM upkeep and inspection bookings, then add research once they know your areas. Our guide on how to hire Filipino staff from Australia covers contracts and onboarding. If your agency is drowning in tenant calls rather than listing admin, a customer service representative may come first; for general business admin, a virtual assistant. Suburb knowledge takes months to build, and more than 95% of Tarino placements are still in the role at 6 months. See how we screen candidates.

Real estate assistant: common questions
What does a virtual assistant for real estate actually do?
Mostly the admin around each listing or buyer brief: logging enquiries in your CRM, uploading approved listings, booking inspections, pulling comparable sales, requesting contracts and strata reports, and sending weekly vendor or buyer updates. Licensed work such as appraisals and negotiation stays with your agents. Through Tarino you hire the assistant directly.
Can they research Australian property markets?
Yes. The practical assessment could include a sample buyer brief researched in tools such as CoreLogic or Pricefinder, so you can judge accuracy before you hire. Local market judgement and final recommendations stay with your agent. Expect a new assistant to need a few weeks to learn your suburbs and your agency's standards.
Can offshore support replace a licensed agent?
No. The role covers research and administrative support. Licensed activities such as appraisals, negotiation and representing a buyer or vendor stay with appropriately licensed staff in your agency. Write those limits into the brief and the contract, and set approved scripts for any contact with clients or listing agents.
Who pays the real estate assistant?
You do. You hire and pay your assistant directly, so they receive their full salary. Tarino charges a one-time recruitment fee per hire, with no monthly fee or markup. Pricing is on our pricing page, and Tarino placements come with 6-month replacement cover for the same role, under the conditions in our terms.
