Offshore staff security: your systems, your access.

Your hire works inside your tools with logins you control. Here’s a practical checklist for setting up access properly and keeping client data where it belongs.

Before day one

  • Create a named account for your hire in every system. Never share logins.
  • Turn on multi-factor authentication everywhere.
  • Give access to the tools the role needs, nothing more.
  • Use a password manager to share credentials safely.
  • Sign a confidentiality agreement as part of their contract.

While they work

  • Keep client data inside your systems rather than on personal devices or email.
  • Use your business’s cloud tools so files stay in one place you control.
  • Review access every quarter and remove anything no longer needed.
  • Make it easy to ask before sharing data outside the business.

If they leave

  • Revoke every login on their last day.
  • Rotate any shared or admin credentials they used.
  • Recover or wipe business data from any device used for work.
  • Hand over open work and client contact to the team.

Questions, answered

Does Tarino hold my client data?

No. Your hire works inside your systems with logins you create and control. Tarino isn’t in the middle of your client data.

What does Australian privacy law say about offshore staff?

Under the Privacy Act 1988 (Cth), Australian Privacy Principle 8 deals with disclosing personal information to someone overseas. Read the OAIC’s guidance and get advice on how it applies to your business.
